The Overview Tab helps you accept, reject, or waitlist applications as per your hackathon guideline.

In Online mode, you can see a list of hackers with their respective status. You can filter out the list by Country or City depending on the nature of your request.

The status of the applicant can be:

  • Profile Submitted: They have only applied to your hackathon
  • Project Submitted: They have applied as well as submitted their project to your hackathon

Review Tab – Online Mode

Here, you can review individual and team profiles to extend invitations to them to attend your hackathon (accept), decline their application (reject), or waitlist (apply/reject later) them. You can apply various filters to help you in the process.

Filters:

  • Country
  • State
  • City
  • Gender (if your hackathon is gender-specific, this could help you review easier)
  • Filter by College (If your hackathon is college-specific)

Application Status:

  • Submitted: They have applied to your hackathon and are up for review
  • Accepted: The hacker has been accepted
  • Rejected: The hacker has not been accepted
  • Waitlisted: The hacker has been waitlisted
  • RSVP'd: The hacker has RSVP’d the invite to the hackathon
  • Checked-in: The hacker has checked in to the hackathon

Reviewing Applications

Upon clicking on an application, you can see all the relevant data required to make an invitation decision and to accept/reject/waitlist them on the basis of it.

Steps to Accept a Participant

  1. Click on Accept when:
  • You want the hacker to participate in the hackathon
  • You want to temporarily shortlist the particular hacker

Note

The hacker won't receive any email or notification and you can still change your mind.

  1. In order to confirm the acceptance, click on Send Acceptance Mail, visible on top of the individual application.

Irreversible Action

Upon doing so, the hacker will be sent an acceptance email and the process is irreversible.

  1. On receiving the acceptance email, the hacker will be asked to RSVP to the invitation.

Steps to Reject a Participant

  1. Click on Reject when:
  • You are not overall happy with the profile and don't wish to include the hacker in the hackathon
  • You want to temporarily remove them from being added to the Shortlisted/Accepted hackers list

Note

The hacker won't receive any email or notification and you can still change your mind.

  1. In order to confirm the non-acceptance, click on Send Rejection Mail, visible on top of the individual application.

Upon doing so, the hacker will be sent a non-acceptance email and the process is irreversible.

Why Waitlist a Participant?

Click on Waitlist when you are not sure about the application (whether to accept or reject).

Note

Marking someone as ‘Waitlisted’ immediately notifies them of their waitlisted status on their Hacker Dashboard.

Sending Acceptance/Rejection Emails in Bulk

If you wish to send permanent acceptance/rejection emails in bulk after shortlisting the applications, you can do that using the Send acceptance emails and Send rejection mails buttons, available at the start of the Review tab.
